General Registration FAQs
When is the conference?
The conference will be held Friday, November 7 through Sunday November 9, 2025.
Where is the conference?
The conference will be held at the Hilton Chicago located at 720 South Michigan Avenue, Chicago, IL 60605.
The link to reserve your hotel room at the discounted rate in the CPC room block will be sent to all attendees via email immediately after purchasing a ticket (in your confirmation email).
How many tickets will be available for CPC 2025?
We’re excited to welcome approximately 600 attendees to CPC 2025 (no increase from 2024). Our current venue proved to be the perfect fit, and we can’t wait to fill it with all the planning energy and community love again this November.
Why are conference tickets limited?
The Chicago Planner Conference is in our 6th year and we are thrilled so many people are interested in attending! While staying true to our original goal of hosting a conference for the greater Chicago area, all are welcome to attend.
Since we are a fully run volunteer event, and are committed to a high level of excellence, we’ve chosen to keep the capacity to a manageable level.
When do tickets go on sale?
Alumni Ticket Sales, Tuesday, July 8, 2025 at 7 pm CT (8 pm ET/ 5 pm PT) through Wednesday, July 9th, 2025, or until alumni tickets sell out!
General Ticket Sales open Thursday, July 10, 2025 at 7 pm CT (8 pm ET/ 5 pm PT)
Tickets will sell out quickly for both alumni and general tickets sales. While Alumni tickets are on sale from Tuesday, July 8th until Wednesday, July 9th, Alumni ticket sales are still first-come first first-served and may sell out the first day depending on the number of alumni hoping to purchase a ticket. Because it is important for us to give new prospective attendees the opportunity to attend CPC we do not release all of our tickets during the alumni sale.
Why are ticket sales only in the evening?
CPC is a 100% volunteer supported organization. In order to provide proper volunteer support during ticket sales, sales need to happen when our volunteer staff can be available.
Where do I go to buy a ticket or be added to the waitlist?
The link to the registration page will be added here prior to registration going live. The link to register will also be shared on our Instagram Linktree and Facebook pages.
If I’m an alumni of CPC, how will I get access to buy an alumni ticket?
Everyone that has attended a past CPC event will receive an email from chicagoplannerconference@gmail.com with details on how to register. We will contact you at the email address you used when purchasing your last ticket to CPC.
If you do not receive the email by Tuesday, July 1, 2025, you may contact us at cpclogisticsteam@gmail.com, and we can look up your registration manually. Please be sure to check your spam/junk folder for the email before reaching out.
If you are an alumni and need to update your email, please email cpclogisticsteam@gmail.com by Friday, June 27, 2025, and advise of your new email address. Please note that we do check our Alumni lists to confirm that you have attended in the past.
If you have unsubscribed from our emails, you will not be added back to the distribution list unless you contact us at cpclogisticsteam@gmail.com.
What constitutes an “alumni”?
To be considered an alumni of CPC you must have attended the conference any year the conference has been held.
If you purchased a ticket but had to sell it for any reason, that unfortunately does not count as an alumni. Our registration platform only keeps track of the final ticket holder, not the original ticket holder.
How many tickets can I purchase at one time?
During alumni sales, only one ticket can be purchased by the alumnus. During general sales, anyone can purchase tickets in the amount they wish.
Please note that when purchasing tickets for more than one person, each registrant must be entered individually which can take additional time to enter each person’s information. This could have an impact on your ability to purchase your tickets before they sell out.
Will you be offering split payments?
We will be offering split payments for original ticket sales only (not secondary tickets purchased by those on the waitlist*).
If opting for split pay, you will pay half the amount the day you purchase your ticket. The remaining balance will be charged automatically to the credit card on file on Friday, August 1, 2025.
Prepaid gift cards cannot be used as payment if doing split pay. The same card has to be charged for both transactions.
If your payment fails to go through on Friday, August 1, 2025, your ticket will be canceled, and you will be refunded your initial payment on Saturday, August 2, 2025.
*If you purchase a ticket from the waitlist, split payment will not be available, and you will be charged the full ticket price.
My credit card expired/information changed and my Split Payment is almost due, what do I do?
Please ensure that the credit card you use for payment will not expire before your second payment is due and that funds will be available on Friday, August 1, 2025.
If your payment fails to go through on Friday, August 1, 2025, your ticket will be canceled, and you will be refunded your initial payment on Saturday, August 2, 2025.
CPC is unable to update credit card information once it's submitted, so using a card that remains valid through the entire payment schedule is essential to avoid any disruptions or issues. As such, CPC strongly recommends that you do not use prepaid gift cards to purchase your ticket.
What forms of payment do you accept?
Our registration site accepts all major credit cards as payment.
Prepaid gift cards should not be used as payment.
I can't attend any more! Can I get a refund on my ticket?
Tickets are not refundable, but they are transferable. We can help you resell your ticket to someone on the waitlist or to someone you have found to assume your ticket.
Please note: We cannot guarantee that there will be someone on the waitlist to transfer your ticket to.
Please reach out to cpclogisticsteam@gmail.com to transfer your ticket to someone on the waitlist or a transferee you have secured.
Tickets will be able to be resold until Wednesday, September 24, 2025. After that date, we will no longer be accepting requests for ticket reselling due to printing deadlines.
Please note, you will be charged a $25 transfer fee.
How much are CPC 2025 tickets?
CPC 2025 tickets are $450 + a $15 processing fee charged by the ticketing site.
The total cost will be $465.
What does the cost of my ticket include?
The cost of your ticket covers the cost of the venue, speaker fees, workshops, make & take activities and supplies, exclusive access to the vendor marketplace, and fun opportunities to connect with other conference attendees!
All materials will be provided for you to fully participate in the workshops and make & takes.
Note: No meals, transportation or hotel rooms are included in the cost of the event ticket. There may be additional optional workshops available for an additional charge that will be announced closer to the event.
I entered incorrect information when purchasing my ticket. What should I do?
You can create an account and log into RegFox to update any incorrect information. You may also email our logistics team and request the information be updated.
Can I bring my child?
Children over 13 are welcome, but each person that attends MUST have a ticket. Please be aware that there are no child-priced tickets available; a child’s ticket must be purchased at full price by someone over the age of 18. You are responsible for your children, anyone under the age of 18 must be with a parent at all times.
Nursing infants are welcome to attend with a parent. If you will be bringing a nursing infant with you please contact us for more details on what elements of the conference would be most appropriate to attend with an infant.

Where do I register for workshops?
As we have in previous years, workshop registration will happen separately from ticket registration so you can efficiently purchase your ticket without the worry that tickets will sell out while you are making your workshop selections.
Please keep an eye out on the CPC social media channels! We will contact all ticket holders with information on workshop selection in late-summer of 2025.

When is table selection?
Table selection will also occur in late-summer of 2025. Please keep an eye out on the CPC social media channels!

Waitlist Information
I didn't get a ticket, can I be added to a waitlist?
Please visit the registration site and complete the registration form (including payment information) and that will add your name to the waitlist.
You will not be charged unless you get a ticket.
The waitlist will remain open until Friday, September 19, 2025. If you purchase a ticket from the waitlist, split payment will not be available and you will be charged the full ticket price.
Will more tickets to the conference be released?
No more tickets will be released for the conference. However, if someone that has a ticket can no longer attend, they can sell it back to the next person on the waitlist.
Due to schedule and other changes, a significant number of people from the waitlist for the last event were able to secure tickets!
I am on the waitlist. Now what?
When the CPC Logistics team is notified that a registrant can no longer attend the event, we will reach out to waitlist registrants individually via the email address they provided during registration and via text to the number they provided during registration.
Once someone on the waitlist is offered a ticket they will have two (2) days to respond to claim the ticket before it is offered to the next person on the waitlist.
If you purchase a ticket from the waitlist, split payment will not be available and you will be charged the full ticket price.
I was able to purchase a ticket from the waitlist, but can no longer attend. What should I do?
Please email the Logistics Committee at cpclogisticsteam@gmail.com and we can help facilitate reselling your ticket to someone on the waitlist (if there is someone on the waitlist) or to someone you have found to assume your ticket.
Please note, there is a $25 processing fee to transfer your ticket.
How do you choose who gets a ticket from the waitlist should one become available?
We will go in chronological order as to when the waitlist spot was reserved.
If someone is reselling a ticket, does it have to go to someone on the waitlist?
A confirmed ticket holder may contact the Logistics Committee at cpclogisticsteam@gmail.com and have the ticket resold to someone on the waitlist (if there is anyone on the waitlist).
Confirmed ticket holders may also choose to sell their ticket to someone directly. Resold tickets must be communicated to us at cpclogisticsteam@gmail.com.
Please note, you will be charged a $25 transfer fee.
How do I remove myself from the waitlist?
Please email the Logistics Committee at cpclogisticsteam@gmail.com at any time prior to the conference and we will remove you from the list.
My credit card expired/information changed, what do I do?
If you are aware that the credit card you have on file will not work in the event a waitlist ticket is processed, please email the Logistics Committee at cpclogisticsteam@gmail.com to let us know (please don’t send updated credit card information in that email!).
Since we are aware of the changes, should your place in the waitlist come up, we will reach out for the current credit card information at that time.
I can no longer attend the conference and there is no one on the waitlist, can I get a refund?
Tickets are not refundable and we must have someone on the waitlist who wishes to purchase your ticket in order to resell the ticket.
I was able to secure a ticket from the waitlist! Now what?
If you have secured your ticket prior to workshop registration and/or table selection, you will have the opportunity to participate in that selection process.
If you secure your ticket after either (or both) of those processes, you will assume the workshops and/or table selections of the original ticket holder.
If you secure your ticket after the waitlist closes on Sunday, September 19, 2025, we can’t guarantee that you will receive a printed badge or your preferred t-shirt size.
Hotel Information
I have my ticket! How do I book in the room block?
Please see your ticket confirmation email, or the attendee Facebook group, to find the link to the Hilton Chicago’s room block booking site. The site will give you access to book a room as part of the room block for Friday and Saturday night.
Please note, you will receive a CPC 2025 memento keycard ONLY if you book through the official room block link with Hilton Chicago.
At the time of booking you will have the option to book up to 2 days (Wednesday & Thursday) before and two days after (Sunday & Monday) the conference at the same room block rate.
Please note that the hotel will have limited rooms available in the room block for the days leading up to and after the event.

If you would like to add additional nights on top of our room block please call the central reservation line (877-865-5320) or Hilton Chicago and ask for group reservations (312-922-4400 M-F; 9am to 6pm CT).
The hotel rooms at the CPC block rates will only be available to purchase until October 18, 2025, or until rooms sell out. Please note, other nights may have different pricing from the room block rate.
How much is a night in the room block?
Room block prices at the Hilton Chicago are $185 plus taxes and a $25 destination fee per night (an approximate total of $235/night). This rate will be available 3 days before the conference & one day after when booking through the room block link. Please note, there is a nightly $25 charge per additional person above double occupancy.
Standard Double (double beds/single bathroom), Double Double rooms (double bed/double bathroom) and King rooms will be available at this rate.
There are also limited rooms available as upgrades and will not be part of our room block rate.
The great news is that the $25 destination fee includes:
- Daily $10 Food and Beverage Credit (excluding tax and gratuity) that can be redeemed at the hotel’s restaurants, bar, or lounge
- Daily access to the hotel’s fully equipped Athletic Club
- Complimentary rental of Pickleball equipment for four
- Premium Guestroom Internet for up to 3 devices
- Daily $18 Laundry/Dry-Cleaning credit
Will I be charged for my hotel room immediately upon booking through the CPC room block?
No, but a deposit equal to the room rate and tax for the first night of your stay will be taken. Should you book and then cancel within 72 hours of check-in or no-show, you will receive a charge equal to the room rate and tax for the first night of your reservation.
How much is parking at the Hilton Chicago?
Parking rates are subject to change, but at the time of this FAQ they are as follows:
- Self-Parking is $72 per day
- Valet Parking is $88 per day
If you do not wish to park at the hotel, we recommend using SpotHero, or any app of your choosing, to find alternate parking options.
Will there be an incidental charge/hold placed by the hotel upon check-in?
Yes. Hilton Chicago holds a standard $100 per night of your stay for incidentals. The hold will be released when you check out and may take 2-3 business days to be credited to your account depending on your bank's processing time. You may prefer to use a credit card to avoid debit card issues (such as overdraft fees).

Note: In order to be added to the group, you must be a ticket holder and answer all registration questions. It may take up to 24-48 hours for your request to be added to the group to be approved.
